1. Who is responsible for your data?
MAELKO IT & Asset Advisory (“MAELKO”, “we”, “us”) operates this website and acts as the controller for personal information collected directly through MAELKO communications and meeting requests. Privacy enquiries can be sent to hello@maelko.com.
2. What information may we collect?
Depending on how you interact with MAELKO, we may process your name, business email address, company or organisation, job-related information you choose to provide, meeting details, the content of your enquiry or correspondence, and technical information generated when the website or embedded services are used.
3. Why do we use it?
We use personal information to respond to enquiries, schedule and manage requested meetings, understand the business problem you ask us to discuss, prepare or take steps toward a potential engagement, maintain necessary business records, protect the website and communications, and comply with applicable legal obligations.
The legal basis will depend on the interaction. It may include taking steps at your request before entering into a contract, MAELKO’s legitimate interests in operating and protecting its business and responding to business enquiries, compliance with legal obligations, or consent where consent is specifically requested.
4. Microsoft Bookings
The booking page on maelko.com embeds Microsoft Bookings. If you submit a booking, the information you enter is processed through MAELKO’s Microsoft 365 environment so that the meeting can be scheduled and managed. Microsoft may also process technical information required to provide the Bookings service. You can use the direct Microsoft Bookings link shown on the booking page if you prefer to open the service separately.
5. Website hosting and service providers
The website is hosted using Cloudflare infrastructure. MAELKO also uses Microsoft 365 services for business email, calendar, and meeting booking. These providers may process information on MAELKO’s behalf or process limited technical information required to provide and secure their services.
6. Cookies and similar technologies
The MAELKO website package does not currently include its own advertising or analytics trackers. The embedded Microsoft Bookings service may use cookies or similar storage required for its functionality. Third-party services are governed by their own privacy and cookie practices. If MAELKO later introduces analytics, marketing technologies, or other non-essential tracking, this policy and any required consent controls will be updated.
7. Sharing of personal information
We do not sell personal information. Information may be shared with service providers that support website hosting, email, calendar, meeting booking, security, or other necessary business operations, and with authorities or professional advisers where disclosure is required by law or reasonably necessary to establish, exercise, or defend legal claims.
8. International transfers
Some technology providers may process data in countries outside the European Economic Area. Where applicable, transfers are handled using safeguards recognised under data-protection law, such as an adequacy decision or appropriate contractual safeguards provided by the relevant service provider.
9. How long do we keep information?
Personal information is kept only for as long as reasonably necessary for the purpose for which it was collected, including handling an enquiry or meeting, managing a potential or active business relationship, maintaining required records, resolving disputes, and meeting legal or regulatory obligations. Retention periods may therefore differ depending on the nature of the information and the relationship.
10. Your rights
Subject to the conditions in applicable data-protection law, you may have the right to request access to your personal information, rectification, erasure, restriction of processing, data portability, or to object to certain processing. Where processing is based on consent, you may withdraw that consent without affecting processing already carried out lawfully.
To exercise a privacy right, contact hello@maelko.com. You also have the right to lodge a complaint with the competent data-protection authority. In Spain, this is the Agencia Española de Protección de Datos (AEPD).
11. Security
MAELKO uses reasonable technical and organisational measures intended to protect personal information against unauthorised access, loss, misuse, alteration, or disclosure. No internet service can guarantee absolute security.
12. External links
This website may link to third-party websites or services. Their privacy practices are controlled by those third parties, not by MAELKO. Review the relevant third-party privacy information before providing personal information to them.
13. Changes to this policy
This policy may be updated when MAELKO changes its services, website functionality, service providers, or legal obligations. The effective date at the top of the page shows when this version became applicable.
